This policy explains what information Leasily collects, why it is used, when it is shared, how long it may be kept, and how to ask for access or correction.

1.Who this policy applies to

This Privacy Policy explains how Leasily handles personal information when people visit leasily.com.au, create an account, are invited into a tenancy workflow, contact us, or use the Leasily web app.

In this policy, Leasily, we, us, and our means the operator of the Leasily platform. Leasily is an Australian software product for self-managing landlords and renters. It is not a real estate agency, trust-account operator, or law firm.

2.The information we collect

The information we collect depends on how you use the platform. It can include account details, contact details, property and tenancy information, payment-setup information, documents, messages, maintenance records, support requests, and records of actions taken in the product.

  • Identity and contact details, such as name, email address, phone number, and profile information.
  • Property and tenancy details, such as property address, lease terms, rent schedules, bills, expenses, maintenance requests, and invited users.
  • Documents and signing records, such as uploaded files, generated lease documents, signature evidence, timestamps, and related audit history.
  • Payment-related details, such as Stripe customer and connected-account identifiers, payment method status, mandate status, receipts, payout status, and transaction references.
  • Technical and usage information, such as browser details, IP-related security data, authentication events, and consent records.

3.How we collect information

We collect information directly from you when you fill in forms, set up an account, upload documents, message another user, request support, connect Stripe, or complete a workflow such as lease signing or payment setup.

We also collect information from other users who add you to a tenancy workflow, from service providers that help us deliver the platform, and from product events generated when features are used.

4.Why we use information

We use personal information to provide and secure the platform, deliver requested workflows, keep records of user actions, communicate about accounts and tenancies, process subscriptions, support payment-enabled features, respond to support requests, and meet legal, tax, fraud-prevention, and record-keeping obligations.

We may also use information to improve the product, investigate misuse, enforce our terms, and manage account export or closure requests. Where a workflow involves electronic signing, we keep the evidence needed to support that signing record.

5.When we disclose information

We disclose information to service providers that help us operate Leasily, but only to the extent reasonably needed for that service. This can include hosting and infrastructure providers, data storage providers, authentication and security providers, email and notification providers, payment providers, e-signature providers, and customer-support tools.

For payment-enabled features, Stripe handles payment credentials, mandates, payment execution, some compliance steps, and payout operations under Stripe's own terms and privacy commitments. For electronic-signing workflows, Leasily may use an external signing provider and store the related signing evidence and status records.

We may also disclose information where required or permitted by law, to respond to legal process, to protect rights or safety, or in connection with a business restructure or sale.

6.Overseas disclosures

Some of the service providers we use may store or process information outside Australia, including in countries such as the United States or other jurisdictions where their infrastructure operates.

Where we disclose personal information overseas, we aim to use reputable providers and reasonable contractual and operational safeguards appropriate to the service being provided.

7.Cookies, browser storage, and marketing choices

Leasily uses cookies and similar browser-storage technologies for core product and website operations. Our separate Cookies & Tracking Policy explains what we use today.

Leasily currently uses strictly necessary cookies and browser storage only. We do not use analytics cookies, marketing cookies, advertising trackers, or third-party tracking pixels in production. If that changes, we will update our notice and obtain any appropriate consent before activating non-essential technologies.

8.Security and retention

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. Those steps include access controls, authentication controls, audit trails, provider-level security features, and restrictions on who can access operational data.

We keep information only for as long as reasonably needed for the purpose it was collected, to support the platform, and to meet legal, tax, dispute, fraud-prevention, and record-retention obligations. Different record types can have different retention periods. Account closure does not always mean immediate deletion.

9.Access, correction, and account lifecycle requests

You can ask for access to personal information we hold about you, or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant, or misleading. We may need to verify your identity before acting on a request.

Where the relevant workflow is available, landlords can request an account export or request account closure from within the product. Some records may still need to be retained, archived, or reviewed before they can be de-identified or removed.

We may refuse or limit a request where the law allows us to do so, including where giving access would unreasonably affect another person's privacy, prejudice an active dispute or investigation, or conflict with a legal retention obligation.
